Emailing Reports from Report Builder

Report Builder has helpful features for emailing out your grid and its charts.

Once you get your report the way you like it, it is easy to download it or email it out.

Using the Sidebar Email Tab

In the sidebar, there is an "Email" tab with the controls you need for emailing your report.

Your email will be sent via AngelTrack's HIPAA-compliant email provider. However, the recipient's email provider might not be HIPAA complaint, so you must never send PHI data to anyone without first obtaining their consent to receive PHI via email.

The following AngelTrack datasets contain PHI:

  • Dispatches-PatientIdent
  • Patients
  • Patients-Seen

Sending Just the Charts

If your report contains any charts, then by default AngelTrack will only send those; it will not include the XLSX spreadsheet containing all the raw data.

If you want to also include the full XLSX, then click the ☑ Always include the XLSX tickybox before sending.

If your report contains no charts, then AngelTrack will always send the full XLSX.

Sending to More Than One Recipient

To send a report to several different recipients, input all their email addresses into the box, separated by semicolons.

Limitations

The largest XLSX that AngelTrack will send via email is 10 megabytes. If your data is larger than this, then AngelTrack will instead download the XLSX to your computer, for you to send by a different channel. There is no limit, however, on the number and size of charts that can be emailed.

To protect against flooding, you can email a maximum of six reports per minute.

Sending Many Reports / Sending Daily Reports

When you save your report (using the Save tab in the sidebar), AngelTrack will save the recipient email address along with it, so that you can email it to the same person again later.

When any report has got a recipient email address saved with it, then the Report Builder Reports grid will offer a ★ Send link next to the report. Clicking that link will open the report, pull fresh data, email it to the recipient, and then close the report, all in a flourish. This makes it easy to email out your daily reports, by just going down the list.

Note that Report Builder's emails are throttled to a maximum of six per minute, so if you need to email a large number of reports, you must space them out in ten-second intervals.
