AngelTrack can store all of your crew members' Continuing Education credits, and send them reminders about shortfalls for upcoming certificate renewals.
Continuing Education requirements are commonplace for EMS and fire certificates. AngelTrack can collect these records from your crews, to offer you reporting and automated reminders.
This feature extends AngelTrack's certificate tracking system, please make sure you are familiar with that system before proceeding.
Configuration
To activate the CEU tracking system:
- Login to AngelTrack with Administrator, Captain, or HR privileges.
- Navigate to the Home page, navigate to the Settings page, and click on the Certificates List.
- Make sure all relevant crew certificate types are activated.
- For any certificate type that has Continuing Education requirements in your state, click the Edit button and input the CEU quantity required for a renewal.
That's it. You are now ready to track your crew members' education credits!
Input of Continuing Education Credits
Crew members can self-serve input their CEUs, same way they can input their own certificates. It is done from the "Certificates" tab of their Employee Self-Edit page.
Supervisors and HR can also input CEUs on their behalf, from the "Certificates" tab of any Employee Edit page, accessible from the Employees List.
Each CEU has the following datafields:
- Category (medicine, trauma, pediatrics, et cetera);
- Date earned;
- Hours earned;
- A list of certificates to which it applies towards renewal; and
- Notes.
A CEU can count towards the renewals of multiple certificates, or just one.
For example, after a crew member inputs an ALS certificate, they can then input CEUs that count towards that certificate's renewal. They might also input a PALS certificate, and then input a CEU that counts towards both the ALS and the PALS renewals.
(You can also input a CEU that counts towards no certificate at all, but AngelTrack won't be able to count it for you later when preparing a renewal, and it will not appear in certain cert-tracking reports.)
Expiration
CEU records in AngelTrack do not have expiration dates; instead, their lifetime is expressed by the certificates to which they are attached as credits toward renewal. When all attached certificates have expired, then the CEU is also expired.
At any time you can review the expired CEU records, and modify them as necessary.
Reporting on CEUs
Data about your crew members' CEUs appears in the following places:
- The Crew Certificate Holders report shows accumulated CEUs and shortfalls for all crew members whenever you select a certificate type which has a CEU requirement.
- Report Builder's "Employees - Certificates" datasets show CEU counts and requirements.
- Report Builder's "Continuing Education" dataset shows all CEUs applied to all certificates, giving a grand total view of CEUs earned and applied across the organization.
Automatic Certificate Reminder Messages
As part of the CEU tracking system, AngelTrack will automatically send reminder emails to crew members when their certificates are coming up for renewal. The reminder messages include mention of any CEU shortfall.
It will send a reminder on the day when any active certificate has exactly 90 days left, and another reminder when there is exactly 30 days left.
The reminders go through AngelTrack's messaging system.
Crew members can opt out of these warnings by unchecking the ☑ Reminders (other than schedules and shifts) tickybox in the messaging settings on their Employee Self Edit page.
Certificates Expiring Reminder Summary Messages
As part of the certificate reminder messaging, AngelTrack will also send a combined list of all certificates expiring in 30 days, including any CEU shortfalls, to all employee accounts which:
- Are active;
- Are members of the Human Resources role;
- Have logged-in within the past seven days;
- Have a secondary messaging address configured; and
- Are opted-in to the "Other reminders" messaging option.
This summary message goes out each night on any date where any crew certificate will expire 30 days hence. Thus, most nights there will be no summary message.
The summary message excludes any crew members who have not logged-in at least once in the past 45 days, i.e. user accounts that should be deactivated.
